Who is responsible for this service?

Ranella operates NotaFrog at www.notafrog.app. For privacy requests, Ranella is the controller of personal data processed to provide the product.

Write to hello@notafrog.app. We are based in Vietnam and the service is offered worldwide.

What data does NotaFrog collect?

We collect only what we need to run an account, transcribe audio, save notes, bill prepaid plans, and keep the product working. We do not sell personal data, and we do not run advertising networks on NotaFrog.

• Account. Name, email, hashed password (via our auth provider), plan, usage counters, and the time the account was created.
• Notes and tasks. Titles, tags, note content, images you paste, organization memberships, and tasks assigned on notes.
• Audio you send for transcription. Live microphone audio or an uploaded file, for as long as it takes to produce a transcript. See How is audio handled?
• Payments. Plan chosen, amount, VietQR payment code, and whether the bank transfer landed. We never receive card numbers. Checkout is a Vietnamese bank transfer through SePay.
• Product analytics. Signed-in event names such as a live viewer joining or a pricing click, with meeting-room codes stripped from URLs. Autocapture of clicks and forms is off.
• Device storage. Session tokens, language choice, and a few editor preferences in the browser. Details are on the cookie policy.

How is audio handled?

Audio is sent to a speech-recognition provider so NotaFrog can return a transcript. Live captions stream to the provider while the session is open. An uploaded file is sent as a whole recording. We do not keep a library of original recordings as a product feature.

The transcript, summary, and any note you save afterwards live in your account, not as the original waveform. Do not record other people unless you have the right to do so — that duty is yours, and it is also in the acceptable use policy.

Where are notes stored?

Saved notes are stored on NotaFrog’s servers, scoped to your signed-in account. If you put a note in an organization, members of that organization can see it according to the roles in that workspace. Organization owners can set a retention window; expired shared notes are purged on a nightly job.

Private notes without a retention date stay until you delete them or ask us to delete the account. Signing out on one browser does not erase the server copy.

Who processes data on NotaFrog’s behalf?

We use other companies to host, authenticate, transcribe, summarise, bill, and measure the product. They process data only to provide that service to us.

Those providers may process data outside Vietnam. If you use NotaFrog you accept that transfer as part of the service.

How does NotaFrog use this data?

• To create and keep your account, and to sign you in.
• To transcribe speech, clean it into a note, and save what you edit.
• To run organizations, memberships, and tasks.
• To meter transcription minutes and translation credits against the plan you paid for.
• To match a bank transfer to a prepaid Lite, Pro, or Team term.
• To diagnose failures and understand which features are used, without advertising profiles.
• To email account mail such as password reset. We do not send marketing lists from this product today.

Legal bases we rely on: performing the contract when you use the product; legitimate interests in keeping the service secure and understanding usage; and consent where a browser prompt is required (microphone, notifications).

How long is data kept?

Account and private notes are kept while the account exists. Organization notes follow that org’s retention setting, then a nightly purge removes expired rows. Payment records are kept as long as we need them for accounting and dispute handling. Analytics events follow PostHog’s retention for our project. Audio used only to produce a transcript is not retained as a recording archive.

What rights do you have?

You can access, correct, or delete personal data we hold, and you can ask for a copy. Vietnam’s personal data rules and, where they apply, similar rights under other laws (access, erasure, restriction, portability) are how we handle these requests.

• Edit your name and password from the account page.
• Delete individual notes from the workspace.
• Email hello@notafrog.app to export or delete the whole account. There is no self-serve account-delete button yet. We will confirm when the deletion is done.
• You can stop using the product at any time. Prepaid terms do not auto-renew; see the refund policy.

Does NotaFrog use cookies?

NotaFrog keeps the signed-in session in the browser (Supabase stores tokens in localStorage). We do not set advertising cookies. Product analytics may set its own storage when PostHog is configured. The full list is the cookie policy.

Is NotaFrog for children?

NotaFrog is not directed at children under 13. School workspaces are for institutions that already have permission to handle student work. If you believe we have an account for a child under 13 without that permission, write to hello@notafrog.app and we will delete it.

How will this policy change?

If we change how we handle personal data in a way that matters, we will update this page and the date at the top. Continued use after the new date means you accept the updated policy. Material changes may also appear on the public Updates list.
